Manage event guests

Everyone who registers on your event page shows up in the Guests tab. Here you approve people, let them in from the waitlist and download the list.

Guest statuses

StatusWhat it means
GoingThey're in. They got a confirmation email.
PendingRequire approval is on and they're waiting for you.
WaitlistThe event was full when they registered.
DeclinedYou declined or removed them.

How guests get a status

  • Open event: guests are Going straight away while there's room.
  • Require approval on: every new guest starts as Pending, and the button on the page says Request to join.
  • Capacity reached: new guests go on the Waitlist, and the button says Join waitlist. People on the waitlist aren't moved up by themselves. You let them in.
  • Each email can register once. If someone registers again with the same email, they keep the status they had.

Approve or decline guests

  1. Open the event and click the Guests tab. A number on the tab shows how many are pending.
  2. Use the filter to show Pending or Waitlist guests.
  3. Click Approve to let someone in, or Decline to say no.
  4. To change your mind later, click Remove on a Going guest, or Let in on a Declined guest.
note

You can approve a guest even when the event is full, so the count can go above your capacity.

Going guests get the date, place, Add to Google Calendar and an Apple / Outlook (.ics) file. For online events, the email has the joining link. Pending and waitlisted guests get no email until you decide.

What guests see when they come back

The page remembers the guest on their device and shows their status:

  • You're in, with the joining link for online events
  • Pending approval: "Waiting for the host"
  • Waitlisted: "You're on the waitlist"
  • Declined: "The host couldn't fit you in"

Someone else on the same phone can click Not you? Register with another email.

Ask guests your own questions

Name and email are always asked. Add up to 10 more questions to the registration form.

  1. Open the event and click Edit event.
  2. Under Registration questions, click Add question, or one of the suggestions like + Instagram ID.
  3. Type the question and pick the answer type: Short answer, Paragraph, Number or Dropdown. For a dropdown, add the choices.
  4. Turn the switch on to make it Required, or leave it Optional.
  5. Use the arrows to change the order, then save the event.

To read the answers, open the Guests tab and click N answers next to a guest. Answers are also in the CSV download, one column per question.

Download the guest list

  1. In the Guests tab, click the download button next to Guest list.
  2. You get a CSV file with name, email, phone, status, country and registration time.

Good to know

  • Every guest is also added to your CRM Leads, tagged with the event.
  • Search the list by name, email or phone, and sort by Newest first or Oldest first.
  • Deleting the event deletes the guest list, but the guests stay in Leads.

Troubleshooting

  • A guest didn't get an email → Ask them to check spam. Pending and waitlisted guests only get one after you approve or decline them.
  • A guest can't register → The event may be Off, or Registration is turned off.
